OUTLOOK: See all your calendars in a single screen

Juggling multiple personal and professional Outlook calendars can be overwhelming. Using this really simple function, you can see all your calendars on a single screen. Never miss a meeting or double book yourself again.

Managing multiple schedules in Outlook is much easier when you can see everything in one place. Instead of switching between separate calendars for work, personal plans, and shared team schedules, Outlook lets you combine them into a single, unified view using the Calendar Overlay feature. Here’s how to bring all your calendars together for a clearer, more organised schedule.

View Multiple Calendars at Once

To start, open Outlook and head to the Calendar section.

  1. In the left-hand navigation pane, find My Calendars or Shared Calendars
  2. Tick the checkboxes next to each calendar you want to display
  3. Outlook will initially show them side by side for comparison

This already gives you a broader view of your commitments across different calendars.

Merge Calendars with Overlay View

To make your schedule even easier to read, you can combine calendars into a single view:

  1. Go to the View tab in Outlook
  2. Select Overlay – Alternatively, click the left-facing arrow on a calendar tab

Once activated, your calendars will merge into one combined timeline.

Why Overlay View Is Useful

Instead of juggling multiple separate calendars, Overlay View helps you:

  • Avoid double-booking appointments
  • See your full schedule at a glance
  • Compare work and personal commitments easily
  • Stay organised across teams and accounts

Each calendar remains colour-coded, so you can instantly identify where each event belongs while still viewing everything together.

Final Thoughts

Outlook’s Calendar Overlay feature is a simple but powerful way to stay on top of a busy schedule. By merging multiple calendars into one view, you get a clear, consolidated picture of your time—helping you plan more effectively and avoid scheduling conflicts.
