How to Set It Up:
- Go to your Mail view in Outlook
- Find the Quick Steps section on the Home ribbon
- Click Create New
- Choose Custom
- Name your Quick Step (e.g., Email Team)
- Under Actions, select New Message
- Open Show Options and add your team’s email addresses in the To field
- (Optional) Assign a keyboard shortcut like Ctrl + Shift + 1
- Click Finish
How to Use It: With one click—or a keyboard shortcut—Outlook opens a new email already addressed to your entire team.
Method 2: Contact Group (Best for Entire Teams)
A Contact Group lets you bundle multiple email addresses under one name, so you can email everyone at once without individually selecting recipients.
In Classic Outlook for Windows:
- Open Outlook and go to People (Contacts)
- Click New Contact Group on the Home tab
- Enter a group name (e.g., Project Team Alpha)
- Select Add Members, then choose:
- From Outlook Contacts, or

- Click New contact list
