Organise Your Outlook Inbox with a Simple Folder Structure
If your Outlook inbox has become a dumping ground for every email you’ve ever received, it’s time for a better system. A well-organised folder structure keeps your inbox focused on what needs your attention today while safely storing emails you’ll need later.
The key is to separate actionable emails from reference material. Here’s a simple folder structure that works well for both personal and business use.
@Action : Store emails that require a response or a task within the next 24–48 hours. Prefixing the folder name with @ keeps it at the top of your folder list, making it easy to find.
@Waiting On : Move emails here when you’re waiting for someone else to reply or complete an action. It’s an easy way to keep track of outstanding requests without cluttering your inbox.
Projects : Create subfolders for your active projects, clients, or events. Try to limit yourself to between three and seven active project folders. Once a project is complete, move it into your Archive to keep your folder list manageable.
Archive : his is where completed emails belong. Whether you need them for future reference or record-keeping, your Archive stores them safely without cluttering your working folders.
Reference : Use this folder for emails you may need occasionally, such as receipts, invoices, travel confirmations, HR information, financial documents, or policy updates.
Expert Tip
For even faster access, add your most-used folders—such as @Action and @Waiting On—to Outlook Favourites. They’ll appear at the top of the navigation pane, allowing you to jump straight to the emails that matter most.
With just a handful of well-organised folders, you’ll spend less time searching for emails and more time getting things done!
